About the Role
Perks Deconstruction is seeking an Operations Coordinator who is passionate about the deconstruction, reuse, and circular economy industry and who thrives in a well-structured, systems-driven environment.
This role is ideal for someone looking to build a long-term career in a mission-driven company, develop deep operational expertise, and grow into a key leadership role over time. The Operations Coordinator plays a central role across office operations and production support. This position supports the leadership team by owning and managing critical administrative, financial, scheduling, HR, and operational workflows, ensuring the business runs smoothly day-to-day while continuously strengthening internal processes and team culture.
This is not a “figure-it-out-on-your-own” role. You will be supported with:

Role Overview
The Operations Coordinator supports all divisions of Perks Deconstruction and Perks Reclaimed through administrative leadership, operational coordination, financial oversight, and HR support.
This role is responsible for day-to-day financial operations, including bank runs, check deposits, accounts receivable, invoicing review and distribution, collections follow-up, subcontractor payments, and payroll oversight. From estimate through project close-out, the Operations Coordinator ensures Buildertrend is accurate and up to date, required checklists are used, and all internal stakeholders are completing their responsibilities. This person provides consistent follow-through, keeps systems organized, and helps the team stay aligned through clear communication and strong coordination.
Key Responsibilities
Human Resources & People Management
● Support hiring and firing processes, including documentation and coordination with leadership.
● Manage onboarding for new employees, including paperwork, system setup, and training coordination.
● Assist with employee training, ensuring adherence to SOPs and company expectations.
● Handle general HR issues (benefits, bonuses, timecard issues, corrections).
● Work with leadership to maintain a positive, values-driven company culture.
● Organize culture-building activities such as summer celebrations, monthly BBQs, holiday parties, and team bonuses.
Payroll, Finance & Administrative Controls
● Oversee payroll, ensuring accuracy and timely submission.
● Deposit checks and sign checks for subcontractors where applicable.
● Ensure all bills are paid on time (rent, tools, subscriptions, vendors, etc).
● Oversee donation receipts, waste receipts, and all project-specific receipts.
● Ensure invoices are generated and sent weekly with full accuracy.
● Maintain organized financial documentation in Buildertrend, Hubdoc, and Drive.
Operations & Production Support
● Oversee the project schedule and ensure Buildertrend is updated and used consistently by the team.
● Ensure Project Manager and Estimators complete change orders accurately and address scope changes promptly.
● Oversee job packets, schedules, mobilization notes, and supporting documentation.
● Run weekly production meetings, create agendas, document action items, and track follow-through.
● Assist with subcontractor coordination.
● Monitor daily logs and ensure field and office teams complete required entries.
● Support waste diversion reporting and material tracking.
Marketing
● Review marketing KPIs goals to actuals every month
● Assist in weekly marketing content review
Systems, Communication & Tech Management
● Manage the company’s tech stack, including Buildertrend, Google Drive, Quo, Hubdocs, 1Password, and other platforms.
● Maintain accurate and organized digital records and internal systems.
● Conduct daily check-ins with virtual assistants (VAs)
● Provide professional communication with clients, contractors, and vendors.
● Review contracts, lien waivers, and notary-required documents as needed.
● Support misc. admin tasks such as employment verification letters, printing, scanning, and document prep.
Qualifications & Attributes

● Excellent communication, writing, and follow-through.
● Strong financial attention to detail.
● Comfortable learning new systems and maintaining digital tools.
● Trustworthy, dependable, and committed to long-term growth with the company.
● Able to maintain confidentiality in HR, payroll, and financial matters.
● Calm, grounded presence with the ability to support both office staff and field crews.
Success in This Role Looks Like
● Leadership is relieved of daily administrative load and can focus on high-level tasks.
● Invoicing, receipts, and financial documentation are consistently accurate.
● Production runs smoothly due to strong scheduling, communication, and follow-through.
● The team feels supported, informed, and connected to company culture.
● Buildertrend, Drive, and other systems are maintained to a high standard.
● Problems are anticipated early and resolved proactively.
● A high level of accountability
Compensation:
● $70,000-$85,000
● $10,000 performance bonus
● 80 hrs paid vacation first year and 100 hours the second year
● 8 paid holidays plus 2 floating holidays
● Health Care Insurance: We pay up to 75% of premium of Anthem Silver, Principal Dental Coverage, Beam Vision insurance
